Reservation & Cancellation Policy

Corporate & Group Events

  • Deposit: A non-refundable registration fee equal to 50% of the total event price is required to secure your reservation.

  • Final Payment & Cancellations: For any cancellations made within two months (60 days) of the scheduled event date, the remaining 100% of the total event price is due and non-refundable.

  • Rescheduling: Please note that rescheduling is considered a cancellation of the original reservation and the booking of a new event. As such, rescheduling requests are subject to the same cancellation fees and deposit requirements outlined above.

  • How to Cancel: All cancellation or change requests must be submitted via email to admin@apexmountainschool.com. Your cancellation is only considered valid once you have received a written confirmation from our office. If you do not receive a reply within 24 hours, please call us to ensure receipt.

Modifications to Group Size

  • Reductions in Group Size: If the number of participants decreases, the per-person rate for the remaining participants will be adjusted to the current pricing tier for that smaller group size.

  • Applied Policy: The cancellation policy (non-refundable deposit or 100% fee if within 60 days) will still apply to the original total for those participants who are no longer attending.

  • Increases in Group Size: Increases are subject to guide availability and will result in additional per-person charges based on the total final count.

Weather & Mountain Conditions

Mountain weather is unpredictable and part of the adventure experience.

  • Guide Discretion: Our guides determine if weather conditions are “permissible.” If the guide deems conditions safe but you choose to discontinue the trip, no refund will be issued.

  • Backup Plans: If conditions are deemed “non-permissible” by the guide, Apex Mountain School reserves the right to implement a backup plan (e.g., change of location or activity).

  • Partial Completions: * If a trip is cancelled by the guide due to weather before it is 50% complete, a 50% credit or refund of the trip fee will be issued.

    • If the trip is 50% complete or further, the full trip fee is charged.

Minor Policy

Apex may, at its sole discretion, allow minors to attend courses/trips without a parent present.

  • Conduct: We reserve the right to discontinue a minor’s participation at any time—without refund—if they act in an unsafe, inappropriate, or disruptive manner.

  • Medical Accuracy: Failure to transparently disclose medical conditions on participant forms will result in immediate removal from the activity without a refund.

  • Transportation: Parents/guardians are solely responsible for transportation. Apex staff are prohibited from transporting minors under any circumstances.

Other Concerns

We do not cancel outings or courses due to adverse road conditions, traffic, or other external factors outside of our control. We encourage all participants to plan and prepare for mountain travel accordingly. Last-minute rescheduling or refunds are not provided for these matters.
